Event Agreement (Service Terms)

The following terms apply specifically to booked events, rentals, and service programs. All Prices are subject to change at anytime:

Pricing

• Current standard pricing is $X.XX per item unless otherwise agreed in writing.
• Specialty items or bulk agreements may vary.

Minimum Order Requirement

• Each event package includes a minimum order requirement based on the agreed package.
• The minimum amount is due in full, regardless of actual consumption during the event.
• If the total number of items served does not meet the minimum, the client will still be responsible for paying the full minimum package price.

Mileage / Travel Fees

• Travel is charged at $2.35 per mile beyond included service distance.
• Mileage is calculated based on total round-trip distance.

Freezer Rental Program

• $XXX per day for single-day rentals
• $XXX per week for extended rentals
• Freezers must be returned in good condition.

Freezer Program Inventory Deposit

• A deposit is required for all ice cream inventory provided under the freezer program.
• Deposit amount is based on inventory value.
• Deposit may be applied toward final sales or refunded upon return of unsold product in acceptable condition.

Overages

• Any items served beyond the agreed quantity will be billed at $4.35 per item after the event.

Setup Requirements

• Client must ensure:
  • Adequate space (3–4 parking spots)
  • Safe and accessible service area
  • Clear access for truck or cart setup

School & District Compliance

• For events held at schools or school-sponsored locations, the client is responsible for ensuring compliance with all school district, PTA/PTO, and local wellness policies.
• P & B Ice Cream Shop will make reasonable efforts to provide items that meet common school guidelines; however:
  • Product eligibility may vary by district
  • Final approval of items served is the responsibility of the school or event organizer
• The client agrees to communicate any dietary restrictions, approved product lists, or district requirements prior to the event.
• P & B Ice Cream Shop is not responsible for denied sales or limited participation due to school policy restrictions not disclosed in advance.

Payment Terms

• Deposits are required to confirm booking.
• Remaining balance is due at event completion unless otherwise agreed.

Damages & Loss

• Client is responsible for any damage to rented equipment.
• Lost or damaged inventory may be deducted from deposit or billed separately.

Right to Refuse Service

P & B Ice Cream Shop reserves the right to refuse or discontinue service if:

• Conditions are unsafe
• Agreement terms are not honored
• Staff safety is at risk
